CARPET CLEANING

Carpet cleaning checklists: the inspection note and the warranty invoice.

Two pieces of paper protect a carpet cleaner: the inspection note made with the customer before the wand touches the floor, and an invoice that says what was cleaned, how and when. An assistant can prepare both and check them. It cannot supply the judgment either one records.

TAKEAWAY

Write down what was there before cleaning, and what was done, in words a warranty claim can use.

The inspection note answers the complaint that arrives after a clean: the worn lane, the faded corner, the stain that came back. The invoice answers a different question, one a warranty may require the customer to answer when filing a claim: was this carpet professionally cleaned, by what method, and on what date. Each is only as good as what the technician records on site.

In the pattern described here, an assistant prepares the note template for each job and checks finished notes and invoices for completeness. It never decides that damage was pre-existing, identifies a fiber, chooses a method, writes wording the customer must accept or interprets anyone's warranty.

01 / BEFORE THE WAND

The inspection note is made with the customer, room by room, before cleaning begins.

IICRC's public page for its ANSI/IICRC S100 cleaning standard, read on 16 October 2026, lists inspections before and after cleaning among the components the standard covers. The standard is sold by IICRC and this guide does not reproduce it. The prompts below are Aevrion's working template, written for an owner to adapt and for a technician, ideally one who holds an IICRC credential, to fill in.

A note that finds nothing is still a record: no pre-existing damage seen, with a wide photo of each room, protects the business as well as a long list does.

The note template, prompt by prompt. Every answer is the technician's, made in the room and with the customer wherever possible.

  • FIBER

What the carpet, rug or upholstery is made of, as the technician identifies it, and how sure they are. A wool or silk piece is marked for a method decision before anything is sprayed.

  • WEAR

Traffic lanes, crushed pile at doorways and on stairs, and furniture dents that cleaning will make more visible.

  • SUN FADE

Color loss near windows and glass doors, compared with carpet under furniture or inside a cupboard.

  • SEAMS AND DELAMINATION

Seams that are lifting, rippling, and any sign that the backing is coming away from the face yarn.

  • URINE

Areas where the customer reports pets, or where the technician finds signs of urine, with a note of what treatment was offered and whether it was accepted.

  • LIKELY PERMANENT

Stains the technician expects may not release, such as dye or bleach marks, and what the customer was told about each.

  • PHOTOS

One wide photo per room and a close photo of every noted area, named for the room.

  • ACKNOWLEDGMENT

The customer's acknowledgment of the note, in the wording the owner chose, or a record that the customer declined.

02 / TEMPLATE AND CHECK

A records Bot builds each job's template and checks the finished note; the technician fills it in.

Grok Bot lets an owner create named Bots, each with its own job and standing instructions, working on a shared persistent cloud computer with a browser and files. Its documentation recommends asking a Bot for reviewable results, such as a document with set headings or a draft that has not been sent, and asking it to keep facts found in a source apart from assumptions and open questions. That advice fits this job closely.

Under Aevrion's pattern, which is a design and not a product feature, a records Bot does the paperwork around the inspection. Before the day, it prepares one note template per job, pre-filled with the address, the rooms booked and any pets or stains the customer mentioned. After the job, the owner attaches the finished note and photos to its conversation, and it returns a completeness list: prompts left blank, booked rooms with no photo, a missing acknowledgment. It reports gaps and never fills a blank with a guess. It then files the note and photos under the job in the shared workspace.

The authoritative copy of each finished note is that file, not anything the Bot remembers. Where notes and invoices live in field-service software, reaching them is a custom integration or supervised browser use where the vendor permits it, subject to testing.

Based on the Grok Bot documentation at docs.x.ai as checked on 15 October 2026. The trade examples are Aevrion's illustrations, not documented Grok Bot use cases. Aevrion Ops is an independent consultancy. It is not affiliated with, endorsed by or a partner of xAI, SpaceXSI or Cursor. Grok Bot is named here only to describe it.

03 / THE INVOICE FIELDS

An invoice that names the method, the date and the rooms on every job.

The invoice check is shorter and stricter. Before the owner sends an invoice, the records Bot compares it with the job's note: the date of the clean; the method written in words, such as hot-water extraction or a low-moisture method; the rooms and items cleaned; any treatment applied, such as a pet treatment or protector; and the business and technician who did the work. A missing field comes back to the owner as a question.

Two things the Bot never does. It does not write hot-water extraction on an invoice for a job that used another method, and it does not add any sentence about what a warranty covers. The invoice states what happened; what that means for a claim is for the warranty's issuer to decide.

04 / ONE BRAND'S TERMS

STAINMASTER's guide is a clear example, and two Shaw warranties already read differently.

The STAINMASTER carpet limited warranties guide published by Lowe's, read on 16 October 2026, covers STAINMASTER carpet bought on or after 7 March 2022 for indoor installation in an owner-occupied residence, or by a tenant for the rental they occupy. It recommends professional hot-water extraction every twelve to eighteen months and tells carpet owners to keep receipts from every professional hot-water extraction clean, saying proof of one is required for coverage. If a problem remains after that clean, the owner must contact the STAINMASTER support team within thirty days of it to file a claim, with a receipt that shows the date and proof of service.

Those are one brand's terms. Other warranties set different conditions, sometimes in a separate care brochure, and the customer's own warranty governs. The table sets the STAINMASTER guide beside two Shaw residential warranties read the same day.

What three carpet warranties say about professional cleaning, as read on 16 October 2026
Warranty documentProfessional cleaning conditionProof it mentions
STAINMASTER carpet limited warranties guide (Lowe's)Hot-water extraction recommended every twelve to eighteen months; a professional hot-water extraction clean after the problem and within thirty days before a claimReceipts from every professional hot-water extraction clean, showing the date and proof of service

Shaw Anderson Tuftex residential carpet warranty, for purchases from 1 October 2023No professional cleaning interval in the text read; it points to Shaw's care and maintenance brochureA description, photos if available and proof of purchase; no cleaning receipt is named

05 / THE CUSTOMER'S SIGNATURE

The customer accepts the acknowledgment; the owner writes it.

An acknowledgment on the note, saying that the listed damage was present before cleaning and that some stains may not release, is a business decision with legal weight. The owner writes the wording, ideally with their own adviser for their state, and only the customer can accept it. The records Bot can check that an acknowledgment exists on the note; it does not draft new wording, soften it for a particular job or tell a customer what signing means.

If a customer declines, the note says so, and whether to clean anyway is the owner's decision on the day. Standing water, a soaked room or a sewage smell is not a carpet clean at all: it goes to a water damage restoration company, and the note records the referral.

06 / LAST MONTH'S JOBS

Fill the template from ten finished jobs, and the gaps show where to begin.

Take the last ten finished jobs and fill in the note template from whatever was recorded at the time. The blank prompts show where the template, or the habit, is weak. Then hold those ten invoices against the invoice fields above. If they already name the method and the date, the invoice check is a small step; if they do not, that is where to start.

The workflow automation readiness assessment then rates one workflow on twelve fixed dimensions and shows its result on the spot, along with what is blocking it; there is no fee and no sign-up. Score the inspection-and-invoice workflow. If what belongs in a note has never been written down, rule clarity is the dimension likely to drop, and because it is one of the capping dimensions, the whole result drops with it. A conversation with Aevrion Ops can then scope the template, the records Bot and any connection to your job software, subject to the vendor's terms and to testing.

SUMMARY

What to take from this.

  1. The inspection note records, with the customer, what the carpet looked like before cleaning; the invoice records the date, the method and the areas.
  2. IICRC's S100 page lists inspections before and after cleaning among the standard's components; the prompts here are Aevrion's template, not the standard.
  3. An assistant prepares note templates and checks notes and invoices for completeness; it never judges fiber or pre-existing damage.
  4. STAINMASTER's guide recommends hot-water extraction every twelve to eighteen months and asks for dated receipts, but those are one brand's terms.
  5. Two Shaw warranties read on the same day word their cleaning conditions differently, so the customer's own warranty governs.
  6. The owner writes any acknowledgment wording, and only the customer can accept it.
